Custom WMS vs. Excel for your distribution center

A WMS for a distribution center controls locations, picking, receiving and shipping in real time, something Excel can’t do no matter how many formulas you add; and when it’s custom, it adapts to your operation instead of forcing you to operate the way the software wants. Excel is an extraordinary tool, but it was designed for spreadsheets, not for directing a team that moves among thousands of locations filling orders against the clock. Why can’t a distribution center run on Excel?

• No real time. While someone updates the sheet, the floor has already changed; the file is always a step behind.
• No operator guidance. Excel doesn’t tell the picker which location to go to or in what order; that stays in each person’s memory.
• Easy to overwrite. A wrong click erases or overwrites data, and discovering it can take days.
• It doesn’t scale. With thousands of SKUs and several shifts, the file becomes slow, heavy and fragile.
• No audit trail. You don’t know who moved what or when, so investigating an error is nearly impossible.

Each of these limitations, in a DC, is paid for in incomplete orders, wrong shipments and time lost searching for product.

What does a WMS really do?

A WMS —warehouse management system— is software designed specifically to direct the operation of a distribution center. Instead of recording what happened, it orchestrates it as it happens.

A WMS manages locations so you know exactly which rack and level each product is on; it guides picking by telling the operator what to take, how much and in what order to optimize their routes; it organizes work into waves to fill several orders efficiently; it controls receiving by validating what arrives against what was ordered; and it coordinates shipping so the right goods go to the right customer. All of this in real time and leaving a trail of every movement.

Why custom and not an off-the-shelf WMS?

Off-the-shelf WMS products exist, and for some standard operations they can work. The problem is that every distribution center has its own way of working: the flow of a 3PL handling merchandise for several clients is not the same as a distributor filling its own orders, and one DC’s layout rarely looks like the neighbor’s.

An off-the-shelf WMS forces you to adapt your operation to the software, often paying for modules you don’t use and fighting with processes that don’t fit. A custom WMS does the opposite: it’s built around your real flow, your layout and your customers. Custom also means the system grows with you.
